1. Purpose

MaxCover Insurance Agency LLC is committed to maintaining a professional, flexible, collaborative, and client-focused work environment. This Workplace Policy outlines our general approach to remote work, in-person work, communication, confidentiality, information security, and professional responsibilities.

2. Flexible & Hybrid Work Environment

MaxCover supports a flexible work environment that may include a combination of:

  • Remote work
  • In-office work
  • Virtual meetings and collaboration
  • In-person team meetings and training
  • Client appointments and business meetings
  • Other work locations approved by the company

Work arrangements may vary depending on an individual’s role, responsibilities, business needs, licensing requirements, client needs, and management approval.

3. Office Attendance

Employees and team members may be asked to work from or attend the MaxCover office for meetings, training, client appointments, administrative matters, or other business purposes.

Flexible or remote work arrangements do not eliminate the need for in-person attendance when reasonably required by the company.

4. Working Hours & Availability

Team members are expected to maintain appropriate availability during their assigned or agreed-upon working hours.

Regardless of work location, employees should remain responsive to clients, colleagues, insurance carriers, and other business partners as appropriate to their responsibilities.

5. Client Service

Providing professional and responsive service remains a priority regardless of where work is performed.

Team members are expected to communicate professionally, respond to client needs in a timely manner, and follow MaxCover’s procedures when handling insurance inquiries, quotes, applications, policy servicing, and other client matters.

6. Confidentiality & Privacy

Insurance work may involve confidential or sensitive customer and business information.

All team members must protect information entrusted to MaxCover and follow applicable company policies, contractual obligations, carrier requirements, and applicable laws and regulations concerning confidentiality, privacy, and information handling.

Confidential information should not be accessed, discussed, displayed, transmitted, or stored in a manner that could reasonably expose it to unauthorized individuals.

7. Information & Data Security

When working remotely or outside the office, team members are expected to use reasonable security practices, including company-approved systems and secure methods of accessing or transmitting business information when required.

Company and customer information should not be stored on unauthorized devices or shared through unauthorized accounts, applications, or services.

8. Professional Work Environment

Whether working remotely or in person, team members are expected to maintain a professional environment appropriate for their responsibilities and interactions with clients and business partners.

Professional standards of conduct apply regardless of work location.

9. Equipment & Technology

Technology, equipment, software, accounts, and systems provided or authorized by MaxCover are intended primarily for legitimate business purposes and should be used responsibly and securely.

Access credentials should not be shared with unauthorized individuals.

10. Licensing & Compliance

Team members performing activities requiring an insurance license or other authorization must maintain all licenses and qualifications required for their assigned responsibilities.

Nothing in a flexible or remote work arrangement changes an individual’s obligation to comply with applicable insurance laws, regulations, carrier requirements, or company procedures.

11. Changes to Work Arrangements

Flexible, hybrid, or remote work arrangements may be modified based on business operations, job responsibilities, performance, client needs, regulatory requirements, or other legitimate business considerations.

MaxCover reserves the right to require in-person work when reasonably necessary for business operations.

12. Policy Updates

MaxCover Insurance Agency LLC may modify this Workplace Policy as the company grows or as business, operational, legal, or regulatory requirements change.
